Jobs and estimates
Importing past jobs from a spreadsheet
Bringing your old jobs in from any software, with their totals, so your history and reports are complete.
Use this if your old jobs are in a spreadsheet, or in software that can export a jobs list. Coming from Blinkbid, use its jobs list and PDFs instead: see Moving from Blinkbid.
1. Fill in the template
- Click Settings in the side menu, then Import.
- Under Jobs spreadsheet, from any software, click Download the template.
- Open it in Numbers or Excel.
- Fill in one row for each job. Or paste in a list exported from your old software, under the matching headings.
- Save it, as a spreadsheet or as CSV.
The columns
- Job number: the only column you must fill in.
- Business name: which of your business names the job belongs to. Leave it empty if you choose one when importing.
- Job name, Client, Contact, Contact email and Date.
- Status: Estimate, Lost, Invoiced or Paid. Empty counts as Estimate.
- Total before tax and Tax: the amounts. Leave them empty to bring in the job only.
- Currency: such as GBP, EUR or USD. Empty uses your home currency.
2. Import it
- Go back to Settings, then Import.
- Under Jobs spreadsheet, from any software, choose the Business name, unless the file has that column.
- Click Choose file and pick the spreadsheet.
- Check the list of jobs that appears.
- Click Import, followed by the number of jobs.
What you get
- Each job, with its client and contact. New clients and contacts are added.
- A job with a total gets a one line estimate or invoice for that amount, with its tax, so your reports and the accountant pack include it.
- Invoiced jobs older than three months are marked paid, unless you untick that box.
- New jobs you make carry on numbering after the highest number brought in.
- Importing the same spreadsheet again adds nothing twice.
