BidWrap keeps track of when each usage licence ends, so you can offer the client an extension before it runs out.

Setting the dates

Under the Usage licence box are the dates BidWrap tracks. The licence builder fills them in for you. For a licence you typed yourself, or one imported from old jobs, fill them in by hand:

  1. Open the job and click Job details.
  2. Under the Usage licence box, fill in Licence starts. Leave it empty if you do not know when the client will first use the work.
  3. Choose how long it Runs for, such as Years, and type How many.
  4. Or, if you know the end date, type it in Or it ends on instead.
  5. Click Save job details.
  • The line under the boxes shows the end date BidWrap has worked out.
  • With no start date, the licence is counted from the date of the job’s first invoice.
  • One time use and Unlimited licences have no end date, so there are no reminders.
  • Leave Runs for on Not tracked for a job with no licence, such as a rental.

Reminders

  • Ninety days before a licence ends, it shows in the Licences ending box on Today, and on the job itself.
  • You get an email 90, 60 and 30 days before it ends, sent to the owner of the account.
  • Change the dates and the reminders start again for the new end date.
  • In Jobs, choose Licences ending in the next 90 days to see them all, soonest first.
TipThe reminder is a good moment to ask the client whether they are still using the work, and to quote an extension.
