Moving from Blinkbid
Importing estimate and invoice PDFs
Rebuilding old jobs line by line from their PDFs, and checking the totals.
Each PDF is read and rebuilt line by line, and its total is checked against the PDF. An estimate and an invoice with the same number become one job. The invoice PDFs are kept, for the accountant pack.
- Click Settings in the side menu, then Import in the list down the side.
- Under Blinkbid history, choose your estimate and invoice PDFs, or drag them onto the box. For hundreds at once, choose a zip of them.
- Wait while they are read. This happens on your computer, and nothing is saved yet.
- Look at the counts: invoices, estimates, ones that need a look, and invoices still showing a balance.
- Check the ones that need a look. On each, click the words saying how many things to check, to see why.
- Use Set every business name to . . . if they should all go under one name.
- Tick Mark invoices that still show a balance as paid only if none of them is really still owed.
- Click Import, followed by the number of documents.
- Keep the page open until it finishes.
- Rows that need a look are left unticked. Tick them to import anyway, then check the job afterwards.
- Old estimates with no invoice become Lost jobs, unless they are from the last two months.
- If some files could not be read, click the button that offers to read the failed files again. It says how many there are.
- Already imported some? Choose the same files again. Nothing is added twice, and their PDFs are saved.
Good to knowCheck a few imported jobs against Blinkbid before you rely on them, especially any that needed a look.
