Estimates for commercial photographers and videographers

Estimates the way commercial jobs are actually bid.

Fees, usage, crew, kit and expenses under the headings a producer expects, built from your own rates in minutes. Then approved online and turned into an invoice without typing anything twice.

From the call to the invoice.

  1. Start the job

Type the days in plain words, such as “3 Nov prep, 4 to 5 Nov shoot, 6 Nov wrap”, and BidWrap works out each day and what kind it is.

  2. Build the estimate

Add fees, crew, kit and expenses from your own rates. Day rates multiply by the days, kits bring their parts, and every line lands under its heading.

  3. Send it and get it approved

Email it from BidWrap with the PDF attached. The client opens a link, reads it and approves it by typing their name. No account needed.

  4. Invoice in one click

Turn the approved estimate into an advance invoice, a final invoice, or both, with the same job number and nothing typed twice.

The detail that matters on a commercial bid.

Headings a producer recognises

Creative fees, crew, talent, kit hire, studio and locations, post production, travel and more, each with a subtotal. Rename or reorder them to suit you.

Usage written properly

Keep your licence wording as templates and adjust it for each job: media, territory and term. It prints with the estimate and the invoice.

Revisions that keep their history

Rework the bid as the brief changes. Every revision is kept, and the one the client approves is the one that gets invoiced.

Expenses with your markup

Receipts linked to the job can be recharged on the invoice, with your markup added, so nothing bought for the shoot is forgotten.

Any currency and tax

Bid in pounds, euro, dollars or any other currency, with UK and Irish VAT, Canadian GST and HST, or US sales tax set up for you.

Shoot days on their own

Prep, build, recce and wrap days are kept apart from shoot days, so kit hire can be charged for the shoot days only with one click.

Questions

Does my client need an account to approve an estimate?

No. They open the link in the email, read the estimate and approve it by typing their name. You see when they opened it and when they approved.

Can I show usage separately from the creative fee?

Yes. Usage can be its own line under fees, and the written licence prints with the estimate, so the client sees exactly what they are buying.

Can I send an estimate in euro?

Yes. Each job has its own currency, and the estimate, the invoice and the reports all follow it.

What if the estimate changes after I have made the invoice?

A draft invoice can be updated from the changed estimate in one click. A sent invoice stays as the client received it, and you can void it and make a new one with the same number.

I use Blinkbid now. Can I bring my old jobs?

Yes. Your Blinkbid jobs list and PDFs can be imported. There is a page about moving from Blinkbid. Read it here.
